# InvoiceParser Pro > Supplier-invoice review for finance teams: bookkeepers, accounting firms, accounts payable teams, small businesses and freight operators. InvoiceParser Pro reads supplier invoices to the line, checks arithmetic, shows confidence and possible duplicates, and sends approved bills to QuickBooks Online, Xero or Zoho Books. Freight trip allocation and southern African formats are specialist workflows within the same product. Excel/CSV exports and a permanent Free plan are available. ## What InvoiceParser Pro is today Short educational invoice tutorials, downloadable fictional PDFs and calculated answer keys: https://invoiceparserpro.com/invoice-tutorials and https://invoiceparserpro.com/invoice-math-checker#worked-examples. Tutorials have readable transcripts and explain arithmetic, tax-inclusive layouts, credit notes, Excel review and limits. They are not live OCR recordings or accuracy evidence. Upload PDF or image documents, or forward them by email. Each document is read, the figures are checked, every field is scored High / Medium / Low confidence, and the result waits for a person to review and approve it. Approved invoices export to Excel/CSV or push into the connected accounting system. Nothing is pushed without an approval. IPP does not pay suppliers or move money. **Core capabilities:** - Extraction: vendor/carrier, invoice number, dates, payment terms, PO number, line items (description, quantity, unit price, discount, tax, total), subtotal, every tax line, shipping, fees and total, plus bank and payment details - Arithmetic check on every invoice: subtotal − discount + shipping + fees + tax = total; a mismatch is flagged with the size of the gap - Confidence scoring per field, so review effort goes to Medium and Low - Possible duplicates flagged against the prior 400 days of invoices in the workspace; invoices with different invoice numbers are never grouped as duplicates; nothing is deleted automatically - Email intake on every plan: each client has its own inbox address - Batch upload: up to 50 documents at once - Push to QuickBooks Online, Xero and Zoho Books over OAuth (paid plans and the trial); one accounting company per provider per workspace; pushes use the selected invoice expense account, a matching client default, or the workspace default from Integrations; Excel and CSV export on every plan - Approval workflows, including multi-step chains (Team and Scale) - Eight roles (Owner, Admin, Finance manager, AP clerk, Approver, Operations, Viewer, Uploader) with per-person switches and approval limits ## For freight and logistics operators Set the workspace type to "Freight / logistics operator" and the interface uses freight vocabulary: carrier rather than vendor, contact rather than client, cost code rather than GL account. - **Cost per trip.** Tag an invoice, or a single line on it, with your own trip number. Trip numbers are free text you generate, can be new, and can be added or changed after an invoice is approved and pushed. - **Loads.** Record a load with its revenue, truck, customer reference and loaded, empty and total kilometres. With costs tagged to it, a load shows income, costs, and its margin where the currencies can be compared. - **Multi-currency.** Each invoice keeps the currency it was issued in; amounts in different currencies are never summed. A billing rate and a settlement rate can be recorded beside a foreign-currency invoice without changing it. - **Late paperwork.** Every document carries the date printed on it and the date it was received; date filters use the invoice's own date. - **Handwritten fuel slips and expense logs** have their own lane, separate from typed carrier invoices. - **Bank statements** are read row by row and checked against the printed running balance. Only people the owner allows can see them. - **Pull a month of PDFs by filter**, renamed by supplier and invoice number. ## Southern African invoices (Namibia, South Africa, Zambia) - **Currency from the page.** A printed symbol or code (N$, NAD, R, ZAR, ZK, ZMW, US$) decides first, then the bank's SWIFT code, then the supplier's country, phone, email domain and address. A printed currency beats the supplier's country: a Namibian supplier that prints "Currency: USD" stays in US dollars; a bare $ on a Namibian supplier's invoice reads as Namibian dollars. With no evidence, the currency is left unknown and the invoice marked low confidence, never defaulted to USD. - **Formats.** Amounts with a space as thousands separator ("N$7 319.67") are read whole; dates on regional documents read day first; VAT-inclusive layouts, including Sage/Pastel's "Sub Total" after the VAT, keep the printed net, or derive it as total less VAT with a reviewer note. - **Dual-currency invoices.** When an invoice prices lines in USD or EUR and prints the amount to pay in ZAR or NAD in a final "TOTAL AMOUNT PAYABLE" box, the payable figure, in its currency, is the invoice total. The line-currency total is kept as a secondary total in the exports. The two are never converted or added together. - **Clearing and forwarding invoices.** The clearing agent's own invoice number is kept over the goods supplier's "Supplier Inv No"; a fee's base value printed in the quantity column is never taken as an amount; credit notes ("NdC No.", "Credit Note No") keep their own number. - **Credit notes** are never approved automatically or booked as bills: QuickBooks Online receives a vendor credit, Xero a supplier credit note; Zoho Books pushes refuse credit notes. - **VAT.** For a VAT-registered workspace, QuickBooks Online bills can carry VAT on your own QuickBooks tax codes after mapping each rate; an unmapped rate holds the push. Xero and Zoho Books pushes do not set tax codes yet. - **Not covered:** Botswana pula is read only when BWP is printed (there is no Botswana town list); customs declarations, duty and import VAT are not calculated. ## Statements and files that are not one invoice - A **supplier statement** uploaded as an invoice (first title "Statement…" plus aged balances, an opening and closing balance, or a running-balance ledger) is flagged as an error, held out of automatic and bulk approval, and refused by every push to QuickBooks, Xero or Zoho Books. - A file holding **several invoices** is flagged and the invoices are asked for as separate uploads. Splitting the file is not built. - Reconciling a statement line by line against your bills is not generally available yet. ## Not available - **Freight-audit matching** (comparing a carrier's invoice against an agreed rate confirmation) is not built. - Fuel-price benchmarking against gazetted pump prices is not offered. - Self-service PO matching and SOC 2 certification are not available. ## Pricing A permanent free plan, plus three paid tiers. New workspaces start with a 14-day trial (50 invoices, no credit card); when it ends the workspace moves to the Free plan rather than stopping. | Plan | Monthly | Billed annually | Invoices/month | Users | |------|---------|-----------------|----------------|-------| | Free | $0 | — | 25 | 1 | | Starter | $79/month | $63/month | 200 | 3 | | Team | $249/month | $199/month | 1,000 | Unlimited | | Scale | $599/month | $479/month | 5,000 | Unlimited | The Free plan needs no credit card and cannot accrue an overage charge. Every plan includes line items, the arithmetic and duplicate checks, trip allocation, multi-currency, email intake and Excel/CSV export. Paid plans add QuickBooks, Xero and Zoho Books push. Team adds approval workflows, a client upload portal and anomaly detection. Scale adds REST API access and priority support. For more than 5,000 invoices a month, email us about Enterprise and we'll scope it with you (https://invoiceparserpro.com/contact). Founding customers: 40% off the first year, for the first 10 teams; ask via the contact page. Costs from carriers, fuel stops, ports and clearing agents can each be tagged to your own trip number, on the invoice or on a single line, so you can see what a load cost. Loads carry revenue, truck and kilometres, and show a margin where the currencies compare. **Does it handle Namibian, South African and Zambian invoices?** Yes. N$, NAD, R, ZAR, ZK and ZMW are read from the page; amounts grouped with a space are read whole; regional dates read day first; VAT-inclusive Sage/Pastel layouts keep the printed net. **What happens with an invoice priced in USD but payable in ZAR?** The amount in the final payable box, in its currency, becomes the invoice total. The USD total is kept as a secondary total in the exports. Nothing is converted. **What stops a supplier statement being paid as a bill?** A statement uploaded as an invoice is flagged as an error, held out of automatic and bulk approval, and refused by every accounting push. **Can AI software handle multi-currency invoices?** Yes. Each invoice is displayed in the currency it was issued in, and amounts are never summed across currencies. Multiple tax lines (VAT, GST/CGST/SGST, KDV and others) are kept as separate entries. **Our invoices arrive weeks after the job. Does that break date filtering?** No. Every document carries the date printed on it and the date it was received. Date filters use the invoice's own date. A document with no readable date is labelled rather than left blank. **How do I get invoices into QuickBooks without typing them?** Connect QuickBooks Online by OAuth, upload or email the invoices, review and approve them, and push. Approved bills arrive with supplier, lines and amounts, posted to the selected invoice expense account, a matching client default, or the workspace default set in Integrations; there is no CSV import step. **Can I process invoices in bulk?** Yes. Upload up to 50 PDFs or images at once; the batch view shows confidence per document so exceptions stand out. A filtered set can be downloaded back out as PDFs, renamed by supplier and invoice number. **Will it flag two separate invoices as duplicates?** Not when they state different invoice numbers. Where a genuine group is found, you choose which copies to keep, and anything removed goes to Trash for 30 days. A group can be marked "not a duplicate". **How accurate is the extraction?** IPP publishes its own benchmark at https://invoiceparserpro.com/accuracy: 181 synthetic test documents run through live production on 3 October 2026, scored field by field against known answers (amounts exact to the cent). 96.1% came back with every key header field right, and 98.7% of key header fields were right. The misses were severely blurred or cropped photos, PDFs holding several invoices, an invoice with no invoice number printed, and one handwritten date. Every document is also graded High, Medium or Low confidence: in that run, every document returned at High was right on every scored field, and all five invoices whose printed figures did not add up were flagged. Real documents vary, so results on yours will differ. **Does it check carrier rates against what was agreed?** Not yet. Freight-audit matching against a rate confirmation is not built. **Is there a free plan?** Yes: 25 invoices a month, one user, no credit card. New workspaces start on a 14-day trial with 50 invoices and move to the free plan when it ends. ## Competitor comparisons Positioning only. Verify current competitor pricing and capabilities with those vendors before relying on any comparison. - **vs Rossum**: no template configuration, arithmetic validation included; Rossum is priced for enterprise buyers. - **vs Nanonets**: line items on every plan, including the free one, and a direct accounting push. - **vs Veryfi**: flat monthly pricing rather than per document. - **vs Dext, Hubdoc, AutoEntry**: line-item extraction and arithmetic checks with freight trip allocation. - **vs enterprise freight-audit providers** (Cass, Trax, Intelligent Audit): those serve large shippers with enterprise contracts and do freight-rate auditing. InvoiceParser Pro is self-serve, starts free, and does not do freight-rate auditing.
