For the invoices a freight or trucking company receives (carrier, fuel, port and clearing agents’ bills), InvoiceParser Pro is the best fit when you need each cost read, checked, put on a trip or load and pushed to QuickBooks Online, Xero or Zoho Books; it is built for that and starts free. FreightBillOCR is a cheaper way to turn carrier freight bills into spreadsheets, Rossum suits large logistics teams with many document types and an enterprise budget, and AutoEntry is the low-cost bookkeeping option. If what you need is billing your customers, factoring or a TMS, you want a different kind of tool: Transflo, LoadStop, McLeod or TriumphPay. Large shippers checking carrier bills against contracted rates use freight payment and audit services such as Cass or Freehand.

InvoiceParser Pro reads supplier and carrier invoices from PDFs, scans and phone photos, checks that the lines, tax and total add up, flags possible duplicates, and waits for a person to approve each one before it goes to QuickBooks Online, Xero or Zoho Books. In a freight workspace the screens say carrier rather than vendor, and you can tag an invoice, or one line on it, with your own trip number to see what a load cost.
It is built around cross-border paperwork in southern Africa: Namibian, South African and Zambian invoices, invoices priced in US dollars but payable in rand, and clearing agents’ bills. Handwritten fuel slips have their own lane, separate from typed invoices.

Best for: Teams that need carrier freight bills turned into spreadsheet rows for their own audit or TMS
FreightBillOCR, built on Lido’s OCR engine, reads freight bills from any carrier format and returns the charges as structured rows. Its published plans start low, with 50 free pages to try.
Pick it if you already have a TMS or a freight payment platform and only need the bill data captured. It does not describe approvals, trip costing or a push into small-business accounting software.

Best for: Large logistics and shared-service teams handling bills of lading, commercial invoices and packing lists together

Pick it if you process several logistics document types at enterprise volume and have the budget for an annual contract.

4. AutoEntry
Best for: A small trucking company’s bookkeeper who wants bills captured into QuickBooks, Xero or Sage at a low monthly cost
AutoEntry, from Sage, captures invoices, receipts and statements for accountants and businesses and posts them to the main accounting packages. It is priced in credits, with unlimited users on every plan.
Pick it if you want simple, cheap bill capture and do not need costs tied to trips or loads.
Limits: General bookkeeping capture: nothing on its pages about trips, loads or carrier costs
5. McLeod Software
Best for: Carriers and brokerages that want one TMS with its own general ledger, receivables and payables
McLeod is transportation management software for truckload carriers, brokerages and 3PLs, with an integrated financial system covering the general ledger, accounts receivable and accounts payable.
Pick it if you are replacing your whole operating system, not just the invoice inbox.
Limits: A full TMS to implement, not a standalone invoice reader

Best for: Carriers that want driver paperwork (BOLs, PODs, fuel receipts) captured so they can bill and get paid faster
Transflo sells back-office automation for carriers that cuts manual entry and invoice lag so carriers get paid faster, together with mobile, telematics and ELD products.
Pick it if your bottleneck is getting delivery paperwork from drivers into billing. That is the receivables side.

7. LoadStop
Best for: Carriers and brokers that want customer invoices generated from PODs and sent to factoring
LoadStop is a TMS whose invoicing generates the invoices a carrier or broker sends when a POD comes in, and submits them to factoring companies by API, FTP, EDI or email. It integrates with QuickBooks Online, QuickBooks Desktop and NetSuite.
Pick it if you mean “invoice processing” as billing your loads.
Limits: A TMS for outbound billing; no published prices
8. TriumphPay (Triumph)
Best for: Carriers that want same-day payment on their invoices, and brokers paying carriers at volume
Triumph runs a payments network for brokers, carriers, shippers and factors. Carriers submit invoices and can be paid the same day; brokers get audit workflows that flag errors and duplicate payments before carriers are paid.
Pick it if your problem is cash flow on the loads you bill, or paying many carriers as a broker.

Best for: Large shippers that outsource checking and paying carrier bills
Cass provides freight payment and audit services: it validates, audits and pays carrier invoices on behalf of shippers.
Pick it if you are a large shipper paying many carriers and want the whole process run for you. InvoiceParser Pro does not check carrier invoices against agreed rates.

Pick it if you are a large shipper whose problem is overcharges against your contracts. InvoiceParser Pro does not check invoices against agreed rates.

Supplier invoices or freight billing: which do you need?
Ask what happens to the invoice after it is read. If you will pay it (a carrier you subcontracted, a fuel station, a port, a clearing agent, a workshop), you need accounts payable software: products 1 to 4 above. If you created it to bill your customer for a load, you need billing, factoring or a TMS: Transflo, LoadStop, McLeod or TriumphPay. If you are a shipper paying hundreds of carriers and checking their rates, you need a freight payment and audit service such as Cass or Freehand.

Questions buyers ask
What is the best invoice processing software for a trucking company?
It depends which invoices you mean. For the bills a trucking company receives and pays (carriers, fuel, repairs, ports), InvoiceParser Pro reads them, checks the arithmetic, tags each cost to a trip and pushes approved bills to QuickBooks Online, Xero or Zoho Books. For the invoices you send customers after a load, use a TMS or billing tool such as LoadStop or Transflo.
Is freight bill processing the same as freight billing?
No. Freight bill processing usually means handling the bills carriers send you, which is accounts payable. Freight billing means invoicing your own customers for loads, which is accounts receivable. Tools are built for one or the other, and this page ranks the first kind.
Which software checks carrier invoices against agreed rates?
Freight payment and audit services do: Freehand audits carrier invoices against contracted rates and shipment data, and Cass audits and pays carrier invoices for shippers. InvoiceParser Pro does not compare a carrier’s invoice with a rate confirmation; it checks that each invoice adds up and flags possible duplicates.
Can I track what each load cost from supplier invoices?
In InvoiceParser Pro you tag an invoice, or a single line on it, with your own trip number, and record the load’s revenue, truck and kilometres. The load then shows its income, its costs and a margin where the currencies can be compared.
