What invoice processing software works for a business in Zambia?

    Separate invoices from everything else

    Pull out statements, quotations, delivery notes and border documents. Only a supplier’s invoice becomes a bill.

    Enter the bill in its currency

    In QuickBooks Online, select Create, then Bill. Choose the supplier and terms, type the bill date, due date and bill number as printed, and enter the amounts. Use ZMW for a kwacha invoice and USD for a dollar one; do not convert by hand on the bill.

    Check the VAT

    At Zambia’s standard rate the VAT should be 16% of the amount before VAT. Zero-rated supplies carry VAT at 0% and exempt supplies none, so check line by line on a mixed invoice.

    Check the arithmetic

    Add up the lines, then check that the subtotal plus VAT and any charges equals the total printed. Query a difference with the supplier before paying.

    Code it to the load

    If you run freight, write the trip or load number on the bill’s memo or a class, so border, fuel-account and workshop costs can be added up per load later.

    Give an invoice, or one line on it, your own trip number. A load can carry kwacha, dollar and rand costs side by side; they are never added across currencies.

    Approve and push

    Approved bills go to QuickBooks Online, Xero or Zoho Books on paid plans and during the trial, or out as Excel and CSV on every plan. Nothing is pushed without an approval.

Zambia’s VAT and Smart Invoice, in brief

ZRA describes standard-rated supplies as attracting VAT at the prescribed standard rate of 16%, zero-rated supplies at 0%, and exempt supplies as attracting no VAT at all.

Smart Invoice is ZRA’s system for issuing invoices: a desktop and tablet application, a mobile application for taxpayers on Turnover Tax, an online portal, and certified invoicing systems that connect accounting packages through ZRA’s Virtual Sales Data Controller. It is about the invoices you send. InvoiceParser Pro works on the invoices you receive and does not connect to ZRA.

Cross-border loads into Zambia

Transporters running from Walvis Bay, Durban or Johannesburg into Zambia collect invoices in three or four currencies per load. IPP reads each one in the currency it prints, keeps the clearing agent’s own invoice number over the goods supplier’s, and takes the payable figure on an invoice priced in dollars but payable in another currency. What IPP does not do

  • It is not a ZRA Smart Invoice system and does not issue, certify or submit invoices to ZRA.
  • It does not file VAT returns, check a supplier’s TPIN, or calculate customs duty or import VAT.
  • It does not convert kwacha to dollars or add currencies together; a load’s margin is shown only where the currencies compare.
  • Xero and Zoho Books pushes do not set VAT tax codes yet. For a VAT-registered workspace, QuickBooks Online bills can carry VAT on your own QuickBooks tax codes.
  • It has no SAP or Sage integration, and paid plans are priced in US dollars.

Does InvoiceParser Pro read Zambian kwacha invoices?

Yes. ZK and ZMW printed on the page read as Zambian kwacha, and each invoice keeps that currency. A Zambian supplier that prints US$ stays in US dollars.

What is the VAT rate in Zambia?

ZRA gives a standard rate of 16%, with zero-rated supplies at 0% and exempt supplies outside VAT. IPP checks an invoice’s VAT against the rate the invoice prints rather than assuming a country rate.

Is InvoiceParser Pro a ZRA Smart Invoice system?

No. Smart Invoice is how invoices are issued to ZRA’s requirements. IPP reads the supplier invoices you receive and sends approved bills to your accounting system; it does not connect to ZRA.

Can one load carry costs in kwacha, dollars and rand?
