Agreement to Terms
These Terms of Service ("Terms") govern your access to and use of InvoiceParser Pro (the "Service"), operated by InvoiceParser Pro LLC ("InvoiceParser Pro," "we," "us," or "our"). By creating an account, signing in, or otherwise using the Service, you agree to be bound by these Terms and by our Privacy Policy. If you do not agree, do not use the Service.
If you are entering into these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind that entity, in which case "you" refers to that entity.
Service Description
InvoiceParser Pro is an AI-assisted invoice data extraction platform. The core functionality includes:
- Extraction of structured data (vendor, invoice number, dates, totals, tax, line items) from PDF, JPG/JPEG, and PNG invoice files, using a pipeline of Azure Document Intelligence for OCR and OpenAI GPT-4o for enrichment.
- A review UI with original-document preview, field-level confidence indicators, and bounding-box review for operator correction.
- Structured export to Microsoft Excel and CSV.
- Direct push of extracted data to accounting systems, currently QuickBooks Online, Xero, and Zoho Books.
- Workspace and role-based access control for bookkeepers, accounting firms, and small businesses working across one or more client books.
The Service uses machine learning models, which are probabilistic by design. Extraction quality varies with document layout, image quality, language, and other factors. You are responsible for reviewing and verifying all extracted data before relying on it for accounting, tax, or payment purposes.
Accounts
To use the Service you must create an account with a valid email address and confirm ownership of that address via our magic-link sign-in flow. You are responsible for:
- Keeping your sign-in credentials and any API keys confidential.
- All activity that occurs under your account, including by users you invite.
- Providing accurate account and billing information and keeping it up to date.
- Notifying us promptly at support@invoiceparserpro.com if you suspect unauthorized access.
We may suspend or terminate accounts that appear to be compromised, fraudulent, or operated in violation of these Terms.
Subscription Plans, Billing & Taxes
Plans & document allocations
The Service is offered on a subscription basis. Each plan includes a monthly document processing allocation and a set of included features. Current plans, prices, and allocations are shown on our pricing page. Allocations reset at the start of each billing period and do not roll over. Allocations are non-transferable between accounts.
Billing
Subscription fees are billed in advance on a monthly or annual cadence depending on the plan you select. Fees are charged automatically to the payment method on file via Stripe on each renewal date. By subscribing you authorize us to charge your payment method for the subscription fee and any applicable taxes.
Price changes
We may change subscription prices from time to time. For active subscriptions, we will provide reasonable notice of any price change before it takes effect on your next renewal. If you do not agree to the new price, you may cancel your subscription before the renewal.
Payment processor
All payments are processed by Stripe. We do not see, receive, or store full card numbers, CVCs, or bank account numbers. By making a purchase you also agree to Stripe's terms of service.
Taxes
Fees are exclusive of taxes unless otherwise stated. You are responsible for all taxes, duties, and similar governmental assessments associated with your subscription, except for taxes based on our net income. Where we are required to collect sales, use, VAT, or similar taxes, they will be added to your invoice.
Refund Policy
We want you to be confident when you subscribe. If you are not satisfied with the Service for any reason, you may request a full refund within 14 days of your initial paid subscription by contacting support@invoiceparserpro.com.
- The 14-day window begins on the date of your first paid subscription charge.
- Renewals after the initial term are not eligible for the 14-day window, but may be cancelled at any time to stop future charges.
- Refunds are issued to the original payment method via Stripe and typically settle within 5–10 business days.
- Accounts terminated by us for violation of these Terms are not eligible for a refund.
Acceptable Use
You agree not to:
- Use the Service in violation of any applicable law or regulation.
- Upload content you do not have the right to upload or process.
- Reverse engineer, decompile, or attempt to extract source code or model weights from the Service, except to the extent that applicable law expressly permits.
- Interfere with, disrupt, or overload the Service, its infrastructure, or other users.
- Attempt to gain unauthorized access to any account, workspace, or data other than your own.
- Use the Service to generate, transmit, or store unlawful, defamatory, harassing, or infringing content.
The Service is designed for ordinary business invoice processing. It is not designed, certified, or suitable for processing the following categories of data, and you agree not to upload them to the Service:
- Protected Health Information (PHI) subject to the US Health Insurance Portability and Accountability Act (HIPAA).
- Payment card data subject to the Payment Card Industry Data Security Standard (PCI DSS), including full card numbers, CVCs, and track data.
- Government-issued identifiers such as Social Security numbers, driver's license numbers, or passport numbers.
- Special categories of personal data under Article 9 of the GDPR (racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data for identification, health data, sex life, or sexual orientation).
- Classified or export-controlled government information.
If you need to process any of the above, the Service is not an appropriate venue. Contact us before uploading such data so we can direct you to a suitable alternative.
Service Limits
- Maximum file size: 10 MB per file.
- Maximum batch upload: 100 files per batch upload. Larger workflows may be split into multiple batches.
- Supported file types: PDF, JPG/JPEG, and PNG.
- We may apply additional per-user or per-workspace rate limits to protect the Service from abuse. These limits may change without notice.
Accuracy, Review & Limitations
The Service uses AI-powered extraction designed to produce high-quality structured output from common invoice formats. Extraction is probabilistic, and accuracy depends on document quality, layout, language, and other variables. Because of this:
- You are responsible for reviewing extracted data through the in-product review UI before relying on it for accounting, tax, payment, or any other business decision.
- We do not represent or warrant that any specific field, document, or batch will be extracted without error.
- We do not make any guaranteed accuracy percentage. Any aggregate accuracy statistics we share in marketing materials are descriptive of past performance on our internal corpus and are not promises about the Service's performance on your specific documents.
- Complex, low-resolution, handwritten, or non-standard invoices may produce lower-quality results or may not be successfully extracted at all.
Data Processing & Sub-processors
By uploading files, you authorize us to process them through the sub-processors named in our Privacy Policy, which is the canonical list. A summary of each provider's role and region is also published on our Security page. File retention is governed by your workspace setting; see our Data Retention page for details.
Customers who require a Data Processing Addendum (DPA) as part of their compliance obligations may request one by contacting security@invoiceparserpro.com.
Intellectual Property
Your content. You retain all right, title, and interest in the files you upload and the structured data extracted from them. You grant us a limited, worldwide, non-exclusive license to store, process, and transmit your content solely to provide the Service to you. We do not use your content to train our models or any third-party model.
Our Service. The Service, including the software, UI, design, copy, documentation, and all derivative works, is owned by us or our licensors and is protected by copyright, trademark, and other intellectual property laws. These Terms do not grant you any right, title, or interest in the Service except the limited right to use it in accordance with these Terms.
Feedback. If you send us ideas, feature requests, or other feedback, you grant us a perpetual, irrevocable, royalty-free license to use that feedback without obligation to you.
Service Availability
We operate the Service on a best-effort basis. Uptime is monitored and published on our status page. We do not currently offer a contractual service level agreement with uptime credits, and we do not guarantee uninterrupted, error-free, or secure operation of the Service. We may suspend the Service from time to time for maintenance, updates, security incidents, or other operational reasons, with or without notice.
Disclaimer of Warranties
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. TO THE FULLEST EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES INCLUDING, WITHOUT LIMITATION, IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTIES ARISING OUT OF COURSE OF DEALING OR USAGE OF TRADE. WE DO NOT WARRANT THAT THE SERVICE WILL MEET YOUR REQUIREMENTS, BE UNINTERRUPTED, TIMELY, SECURE, OR ERROR-FREE, OR THAT EXTRACTION OUTPUT WILL BE ACCURATE OR RELIABLE.
Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
- Neither party will be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including without limitation loss of profits, revenue, data, goodwill, or business interruption, even if advised of the possibility of such damages.
- Our total aggregate liability arising out of or related to these Terms or the Service will not exceed the fees you paid to us for the Service in the twelve (12) months preceding the event giving rise to the liability.
- We are not liable for errors in extraction output, for financial, tax, or accounting consequences resulting from reliance on the Service, or for any third-party service or sub-processor failure.
Indemnification
You agree to defend, indemnify, and hold harmless InvoiceParser Pro, its officers, employees, and agents from and against any claims, liabilities, damages, losses, and expenses, including reasonable legal fees, arising out of or in any way connected with (a) your access to or use of the Service, (b) your violation of these Terms, (c) your violation of any law or the rights of a third party, or (d) any content you upload to the Service.
Termination
By you. You may cancel your subscription at any time from Dashboard → Settings or by contacting support. Cancellation takes effect at the end of the then-current billing period. You may request account deletion at any time, subject to our legal retention obligations described in our Privacy Policy.
By us. We may suspend or terminate your access to the Service, with or without notice, for any material breach of these Terms, for suspected fraud or abuse, or to comply with applicable law or legal process.
Effect of termination. Upon termination, your right to access the Service ends immediately. Sections of these Terms that by their nature should survive termination (including Intellectual Property, Disclaimer of Warranties, Limitation of Liability, Indemnification, Governing Law, and Dispute Resolution) will survive.
Changes to These Terms
We may modify these Terms from time to time. When we make material changes we will update the "Last updated" date at the top of this page and, where required by law or reasonable in the circumstances, notify you by email or through the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
Governing Law
These Terms, and any dispute arising out of or related to them or the Service, are governed by the laws of the State of Kentucky, without regard to its conflict-of-laws principles. The parties consent to the exclusive jurisdiction and venue of the state and federal courts located in Kentucky for any action not subject to the dispute resolution provisions below.
Dispute Resolution
Before filing any formal claim, you agree to first contact us at support@invoiceparserpro.com and provide a written description of the dispute. The parties agree to negotiate in good faith for at least 30 days before initiating any formal proceeding.
If the dispute is not resolved during that period, either party may pursue remedies in the courts identified in the Governing Law section above, subject to any additional dispute resolution terms that may apply.
Miscellaneous
Entire agreement. These Terms, together with our Privacy Policy and any order form or plan page incorporated by reference, constitute the entire agreement between you and us regarding the Service.
Severability. If any provision of these Terms is held unenforceable, that provision will be enforced to the maximum extent permissible and the remaining provisions will remain in full force and effect.
No waiver. Our failure to enforce any right or provision of these Terms will not be a waiver of that right or provision.
Assignment. You may not assign or transfer these Terms or any rights under them without our prior written consent. We may assign these Terms without restriction.
