Best free invoice-to-Excel converters in 2026, compared
For an invoice (rather than any PDF table), use a converter that reads invoice fields and line items and accepts phone photos. InvoiceParser Pro’s free Invoice to Excel tool is the only one here that also tells you whether the invoice adds up, line by line; it converts up to 3 invoices a day with no sign-up and deletes unclaimed files after 7 days. ScanToExcel allows more per day (5) and stores nothing, BillBjorn converts one invoice at a time and deletes files after 24 hours, and FlowParse gives 10 pages a month. If your file must never leave your computer, i24app and BillSnap run in the browser, and Excel’s own Get Data from PDF imports tables if you have Microsoft 365.
Free means usable without paying. Several tools are free tiers of paid products; the table shows the paid price where one is published.

Best for: Checking that an invoice adds up while you convert it, from a PDF or a phone photo
Drop a PDF or a phone photo and download Excel, with every line item, or CSV, with one row per invoice. The page shows the invoice’s lines and a verdict from the same checks the paid product runs: each line’s quantity times rate, the subtotal, the VAT against its printed rate and the total.
The file is kept for 7 days so you can save it to a free workspace, then deleted automatically. Two sample invoices with fictional data let you see the result before uploading your own.

Pick it if you need a few more conversions a day and do not need the math checked.

10. Microsoft Excel (Get Data from PDF)
Best for: Microsoft 365 users importing tables from digital PDFs without another tool
In Excel, Data > Get Data > From File > From PDF opens a PDF and lists the tables it finds, which you load into a sheet.
Pick it for digital PDFs with clean tables when you already have Microsoft 365.
Limits: Imports tables, not invoice fields; PDF is not in the Excel for Mac list of sources; needs .NET Framework 4.5 or later
Invoice converters and PDF converters do different jobs
A general PDF-to-Excel converter copies the tables it finds. That works for a clean digital invoice, but the vendor, invoice number, dates and totals usually land in odd cells, a photo or scan often fails, and nothing tells you whether the numbers are right. An invoice converter reads the document as an invoice: header fields in their own columns, one row per line item, and, in the better ones, a check that the lines and totals agree.

How we compared
- Every fact about another product (what it does, who it is for, its published prices and limits) was read on that product’s own website on 4 October 2026. The pages are listed under each product below. Review sites and other lists were not used as sources.
- The other products were not tested hands-on for this version of the page: nothing here measures how well they read invoices. Where a vendor does not publish a price or a limit, the page says “not published” rather than guessing.

What is the best free tool to convert an invoice PDF to Excel?

Can I convert a photo of an invoice to Excel for free?
Yes, with an invoice converter that reads images: InvoiceParser Pro, ScanToExcel, BillBjorn and FlowParse accept phone photos. Airparser’s free tool and BillSnap read digital PDFs only, and Smallpdf reads scans only on its paid plan.
Which free converters do not keep my invoice?
i24app and BillSnap process the file in your browser, so it is never uploaded. ScanToExcel says files and output are never stored, Smallpdf deletes files after one hour and BillBjorn after 24 hours. InvoiceParser Pro keeps the file for 7 days so you can save it to a free workspace, then deletes it automatically.
Does a free converter check the invoice’s math?
InvoiceParser Pro’s free tool checks each line’s quantity times rate, the lines against the subtotal, the VAT against its printed rate, and the total, and says in plain words where it does not add up. FlowParse says totals are checked by arithmetic. The general PDF converters do not check anything.
Can Excel convert a PDF invoice by itself?
Excel with a Microsoft 365 subscription on Windows can import tables from a PDF through Data > Get Data > From File > From PDF. It brings in tables rather than invoice fields, so the vendor, dates and totals need tidying by hand.
