Dext costs more; Hubdoc does less, but on Xero it costs nothing extra.

Dext in short

Dext (formerly Receipt Bank) is bookkeeping automation for small businesses and for accounting and bookkeeping firms. Receipts, invoices and statements come in by phone, email, WhatsApp or upload; Dext extracts the data, categorises it and publishes it to the accounting system, with approval workflows, supplier rules and add-ons for bank statements, supplier statements and line items.

Its business plan is one subscription that scales with users and documents: 250 documents and 5 users at the base price, with a small allowance of line-item, bank-statement and supplier-statement extraction included and more sold as add-ons.

Pick Dext if

  • You use QuickBooks Desktop, Sage, MYOB or another system Hubdoc does not connect to.
  • You want invoices split into line items and coded line by line, and accept paying for it beyond the included five a month.
  • Bills must pass an approval workflow before they are published.
  • Your team sends receipts by WhatsApp, or you want supplier statements checked against the invoices you hold.

Hubdoc in short

Hubdoc is Xero’s data capture tool. It extracts key data (contact, date and amount) from bills, receipts, invoices and statements and creates the bill, invoice, credit note or spend money transaction in Xero with the document attached. It also publishes to QuickBooks Online and stores documents, with tags, folders and supplier rules that can publish a regular supplier’s bills automatically.

On a Xero business edition plan it costs nothing extra. Line items are not extracted for you: when you publish, you can split a document into several lines for different account codes or tax treatments, or fill in the lines last used for that supplier.

Pick Hubdoc if

  • You are on a Xero business edition plan and want capture without another subscription.
  • Most of your documents are one-amount bills and receipts that post to a single account.
  • You publish to Xero or QuickBooks Online and do not need approvals before publishing.

Cost: included with Xero, or a subscription of its own

For a Xero business edition customer, Hubdoc is already paid for. Dext is a separate subscription priced by users and documents: $25.21 a month billed annually covers 250 documents and 5 users, with line items, bank statements and supplier statements beyond small included allowances sold as add-ons. On partner edition Xero plans Hubdoc is billed separately too.

Line items: extracted, or entered by you

Dext extracts each line’s description, amount, tax amount and quantity, automatically for chosen suppliers or for one invoice at a time, but not tax codes or rates. Hubdoc extracts the contact, date and amount; splitting a bill into lines for different account codes is something you do when you publish, with a shortcut that repeats the supplier’s last lines.

Approvals and accounting systems

Dext has its own approval workflows, up to five stages with amount thresholds, and connects to QuickBooks Online and Desktop, Xero, Sage, MYOB, Zoho and others. Hubdoc publishes to Xero, where a bill can wait as awaiting approval, and to QuickBooks Online; it has no approval step of its own.
